General Job Description Summary: Reports to and receives assignments from CEO and Executive Management. Performs all Executive Secretarial duties. Plans appointments and meetings, attends meetings and takes minutes. Handles phone calls. Performs clerical and administrative tasks including drafting letters, memos, emails, invoices, reports, correspondence and documents for Executive Management. Arranges travel. Maintains records. Assists in various administrative tasks. Prepare and distribute internal and external documents, including reports, memos, and letters. Maintain the electronic and paper files of the Executive Management and ensure they are updated regularly. Handle confidential information with discretion and professionalism. Maintain SOI Training Folders. Provides high-level administrative support and assistance to the CEO and Executive Management. Order lunch as requested. Order flowers. Shop for food items as needed. Ancillary items as needed or requested. Performs various clean-up and housekeeping duties. Observes and follows all safety rules and procedures, including wearing required PPE. Performs various other duties and activities as directed by the Manager. Must meet all elements of the Helena Standards Pertaining to All Jobs, Job Classification Standards – Job Requirements Matrix and General Job Requirements.
Experience: 1 year experience preferred.
Education/Training/Skills: High School or Equivalent. Proficiency with Microsoft Word and Excel. General secretary skills, exceptional organizational skills, detail oriented, professional communication abilities with all levels of employees, vendors, clients and guest. Professional writing capabilities including, emails, letters, reports, documents and correspondence. Strong knowledge of databases and tracking systems.
